Who we are and what we do with your data

The data controller

SAFETY SOLUTIONS MIDLANDS LTD (trading as The Sign Hub) is the data controller for information collected through this website and in the course of quoting, manufacturing and installing signage. We are a private limited company registered in England & Wales under company number 05548129, incorporated on 30 August 2005. Our registered office and trading address is 61- 65 Rixon Road, Finedon Road Industrial Estate, Wellingborough, Northamptonshire NN8 4BA.

What we collect

• Contact details you give us — name, company, email, telephone and site address.
• Project information — photographs of the site, artwork files, drawings, measurements and access notes.
• Correspondence — enquiries, quotations, purchase orders, RAMS and sign-off records.
• Payment and account information — invoicing details and payment records, held for statutory accounting purposes.
• Basic technical data — the pages you viewed on this site, in aggregate, so we know which services people need.

We do not collect special category data. If a site visit requires access information about an individual — for example a keyholder's mobile number — it is held only for the duration of that project.

Why we hold it, and our lawful basis

• Legitimate interests — answering your enquiry, preparing a quotation, designing and manufacturing the work, and keeping a record of what was installed where. That record matters when a panel needs matching five years later.
• Contract — performing the order you have placed, including delivery, installation and warranty service.
• Legal obligation — retaining invoices, VAT records and health-and-safety documentation for the periods the law requires.
• Consent — the only thing we ask consent for is being sent occasional project updates. You can withdraw it in one click, and withdrawing it does not affect any work in progress.

How long we keep it

Enquiries that do not proceed are deleted after 24 months. Project records, drawings and installation photographs are kept for the life of the installation plus six years, because warranty and statutory records depend on them. Accounting records are kept for six years from the end of the accounting period, as HMRC requires. Health-and-safety records relating to work at height are kept for the periods set out in the relevant regulations.

Who else sees it

Only where the job needs it: our accountants, our email and file-storage providers, our payment processor, and occasionally a specialist supplier such as a powder coater, an engraver or an access-equipment hire firm. Each is bound by a written agreement limiting them to processing on our instructions. We do not sell data, and we do not pass your details to marketing lists.

Where it is stored

Data is held on servers within the UK and the European Economic Area. Where a provider processes data outside that area, the transfer is covered by the UK International Data Transfer Agreement or the addendum to the EU standard contractual clauses.

Your rights

You have the right to be told what we hold and to receive a copy of it; to have inaccurate information corrected; to have data erased where we are not legally required to keep it; to restrict or object to processing based on legitimate interests; and to receive data you gave us in a portable format. Write to info@thesignhub.net and we will respond within one month.

If you are not satisfied with how we have handled a request you can complain to the Information Commissioner's Office at ico.org.uk, or by telephone on 0303 123 1113. We would rather you came to us first so we can put it right.

Automated decision-making

None. Every quotation and specification is prepared by a person, and no profiling is carried out.

Material changes are published on this page with a revised review date. This version supersedes any earlier privacy notice issued by The Sign Hub.
